SWCA Environmental Consultants is seeking a dynamic Senior Administrative Manager to support our fast-paced South region. Our South region offers a unique culture and work environment, and our teams specialize in Natural Resources, Cultural Resources,Ecological Restoration, Planning, Permitting, and GIS Services. This is a regular (with benefits), salaried, full-time position.

The Senior Administrative Manager will oversee our administrative teams and functions of our South region, thoughtfully considering the most essential business needs of the South region's individual business units and offices, identifying how SWCA's regional team of administrative support professionals can optimally support their operations partners. In doing, so the Senior Administrative Manager will identify performance standards, best management practices, standard operating procedures, and priority process improvements to provide enhanced consistency and excellence in the administrative support and operations collaboration throughout the region. This role requires the ability to quickly learn the fundamental business practices of SWCA in order to align administrative support personnel to accelerate organizational performance and continue SWCA's exciting growth trajectory. This career opportunity requires exceptional organizational skill, people management, time management, and customer service abilities to be successful in this role. This position will be physically located in one of our current South region offices in New Mexico, Texas, Louisiana, Florida, and North Carolina. We will also seriously consider highly qualified distributed (remote) candidates. Travel will be expected to visit other office locations at least once a quarter. Lodging and travel expenses will be covered during out-of-town office visits.

Reporting to the Senior Vice President of the South region, you will oversee the administration by coaching and mentoring subregional Senior Administrative Managers and the approximately 10 administrative specialists in the region who support a team of more than 420 field and office staff in the realms of safety, logistics, employee support, real property and equipment management, expense reconciliation, and vendor management. The individual in this role be part of a cohesive peer group of Senior Administrative Managers located in each of SWCA's three regions.

What you will accomplish

  • Lead the administrative functions of the region by setting up and maintaining a collaborative and cohesive administrative team, managing current functions and processes, and identifying and implementing efficiencies that ensure that tasks are completed in the most timely, safe, and cost-effective manner.
  • Manage the development, adoption, and use of effective, efficient, and uniform processes and procedures regionwide.
  • Mentor regional administrative staff and lead regional and OneSWCA admin meetings, communication channels, and file management.
  • Set regional and companywide standards for administrative functions, in partnership with peers, corporate departments, SVPs, and Executive team.
  • Lead others in the implementation of processes, procedures, and tools for the region and OneSWCA.
  • Develop training materials, manage the new hire onboarding processes. and liaise with the Talent Acquisition team to ensure smooth onboarding practices.
  • Work closely with our other regions to find efficiencies within administration and support OneSWCA business needs.
  • Analyze complex problems and deliver solutions where precedent may not exist.
  • Check in regularly with organizations within the region to assess administrative needs and ensure adequate administrative staffing.
  • Acts as project manager for office moves, working with Chief Financial Officer, subregional Vice President, local directors, technology infrastructure team, landlord, realtor, and vendors.
  • Develop annual strategic plan elements relating to facilities, capital expense purchases, and administrative functions for the region.
  • Coordinate technology (tablets, computers, and server equipment) purchases and usage for the region, in partnership with Technology staff and operational leadership.
  • Lead logistical planning for major events in the region-leadership conferences, board meetings, office anniversary parties, open houses, etc.
  • Negotiate advantageous rates with vendors and service providers (e.g., hotels, rental companies, office equipment suppliers, catering, etc.) for company or region, seeking cost savings and quality service.
  • Support onboarding and integration of mergers and acquisitions.
  • Assist with companywide initiatives.
  • Arrange travel for senior management and reconcile expenses.
  • Work with the SWCA Technology team, subregional admin managers, and SWCA leadership to ensure the cost-effective deployment and use of tablets, computers, and server equipment for the region.
  • Collaborate regularly with SWCA's corporate departments (HR, Payroll, IT, Marketing, Safety, and Accounting) to support a productive partnership with operations.
  • Coordinate the function of regional Office Safety Representatives and Field Safety Representatives to ensure the safe execution of work across the region, adequate record keeping, and appropriate responses to safety audits.
  • Author complex documents (plans, procedures, client communications, etc.).

Experience and qualifications for success

Required Qualifications

  • A minimum of five (5) years of experience in business administration and operational management.
  • A minimum of five (5) years of experience managing multiple sites (offices or locations) within a business.
  • Demonstrated commitment and success in collaborative processes across the business.
  • Track record of establishing positive relationships with colleagues at the local, regional, and national levels.
  • Strong evidence of having led large scale process improvement and change initiatives within organizations
  • Experience creating and ensuring adherence to standard operating procedures.
  • Proven experience in defining performance objectives and expectations and creating a culture of accountability and high performance with staff, many of whom will not report directly to you.
  • Proven track record of influencing the delivery of results, even in areas without direct authority.
  • Ability to travel 10% of the time.

Preferred Qualifications

  • Bachelor's Degree in environmental science, business administration, or a related field.
  • Seven to twelve years of experience in business administration and operational management
  • A minimum of two (2) years of experience directly supervising staff.

An employee in this Houston, Texas-based position can expect a salary of $75,348/year - $95,004/year. Actual pay within this range may depend on experience, qualifications, geographic location, client requirements where applicable, and other factors permitted by law. Regular-status employees are also eligible for performance bonuses.
